The Robin Club-Where Fun and Education Meet   

The Robin Club provides busy parents with high quality care before and after school within a familiar setting.

Introduction and Rationale

Robin Club is run by Forestdale Primary School and exists to provide high quality out-of-school hours childcare for our parents. It provides a range of stimulating and creative activities in a safe environment. Robin Club takes place in the school’s dining hall and makes use of the school’s ICT suite, sports hall and playing field.

The club operates from 7.30am-8.35am and from 3.15pm-5.50pm term time only, and cost for each session can be found detailed further on in this policy and on our website. A copy of this policy can be found on our website. Robin  Club will operate on any day that the school is open to children; it will not be open on INSET days.

All parents must complete a registration form for each child attending the club and sign an agreement to adhere to the terms of this policy.

Admissions

  • Only children attending Forestdale Primary School are eligible to attend Robin club.
  • All places are subject to availability.
  • The registration process must be completed prior to the child’s commencement at the club.
  • All club staff are made aware of the details of a new child.
  • Children’s attendance is recorded in a register.

Fees

All fees must be paid in advance of your child attending. Booking and payment are done through the ScoPay www.scopay.com website. Please ask the office for login details. We are unable to accept cash/cheques.

Parents are encouraged to book at least a week in advance; bookings can be made up to half a term or a term in advance.  You may book places on an irregular ad hoc basis, but giving us as much notice as possible is advisable.

Once you have booked and paid for your child/ren’s place it will be non-refundable.

You may use childcare vouchers to pay for the Robin Club.  We currently have parents who use Edenred, Computershare and Sodexu as well as the Government Tax Credit Scheme.

Failure to make payments on time will result in the termination of the contract and your child/ren losing their place in the club.

Arrears and Debt Recovery

If you are struggling to make payment, please contact us to discuss in the first instance.

We will work with you to agree a repayment plan.

If no payment is made and we are unable to contact you, further action will be taken which will include the following:

  • Additional administration fees
  • Transfer of your account to our debt collection agency Sundry Debtors Team.
  • Ask you to reduce the days your child attends
  • Ask you to remove your child/children from Robin Club. This could incur a one month 'notice period' charge.

Arrival and Departure

Dropping off at Breakfast Club

The Breakfast Club opens at 7.30am.

There are two arrival times 7.30am and 8.00am.

The Robin Club Manager, Mrs Ashrafi, will meet your child at these times—please ensure that you are on time.  When bringing your child to the breakfast club please bring your child/ren to Gate 3 off Pixton Way.   Only children can enter the site, we ask that parents please remain outside the gate.

Collecting Children

When collecting you child from the after-school club—please wait outside Gate 3 where children will be brought out to you. Children can be collected at 4.30pm, 5.10pm and at 5.50pm. We are unable to accommodate any other collection times. Children have their meal from 4.30pm to 5.00pm.

All children must be collected by 5.50pm at the very latest.  Children worry if they are not collected on time. Please make alternative arrangements for someone else to collect your child if you are going to be late. Our staff are paid until 5.50pm and the school is locked at that time.   There is a late fee of £10 which increases by £10 every 10 minutes eg 6.10pm is a £20 late fee. Your child’s place will be withdrawn if you are continually late.  We would ask that you collect your child in a timely fashion so this does not occur.

Children are not permitted to leave on their own or with anyone under the age of 18. For information, we cannot stop a parent from collecting their child unless we have a copy of a court order stating that they cannot.

Behaviour

  • Whilst attending Robin Club children are expected to:
  • Use socially acceptable behaviour
  • Respect one another, accepting differences of race, gender, ability, age, and religion.
  • Choose and participate in a variety of activities
  • Ask for help if needed
  • Enjoy their time at Robin Club.

Positive behaviour is always encouraged by:

  • Staff acting as role models
  • Praising appropriate behaviour
  • Informing parents about individual achievements

Dealing with inappropriate behaviour

  • Challenging behaviour will be addressed in a calm, firm and positive manner
  • In the first instance, if necessary, the child will be temporarily removed from the activity
  • Staff will explain why the behaviour displayed is deemed appropriate
  • Staff will encourage and facilitate mediation between children to try and resolve conflicts through discussion and negotiation
  • Staff will consult parents to consult clear strategies for dealing with persistent inappropriate behaviour
  • Staff will inform parents if they have been spoken to about their behaviour.

The club follows the school’s behaviour policy. We reserve the right to cancel a child’s place if his/her behaviour is not appropriate and they are not following the values set by Forestdale Primary School.

Menu

Children will be offered a healthy nutritious breakfast and will engage in activities until the start of the school day. Breakfast will be served at 8.15am in the dining hall.  At 8.45am children are    escorted to their classrooms. Children will be given a choice of foods from the breakfast menu including: toast with various spreads, a range of healthy cereals and a yoghurt. We expect that all children attending will need a breakfast provided by the club. If your child does not need the breakfast, please let the staff know when dropping off.

 A light supper will be served in the school dining hall from 4.30pm to 5pm. The cost of the meal is included in the price of the medium stay until 5.10pm and long stay club until 5.50pm.  There is a three-week menu for the supper.

Activities

There will be a range of activities available for the children each afternoon including; construction toys, art and craft, board games, small world activities, a comfy and quiet reading area and    homework support. Weather permitting, the outdoor area will be used to offer a range of activities including skipping and ball games. These will, of course, be supervised by an adult at all times. Children will also visit the ICT suite on one afternoon.

First Aid, Administration of Medicines and Illness

All accidents will be recorded in the school accident book, and accurately reported to the parents/carers upon collection. In an emergency we need to contact you quickly. It is therefore VITAL that you update any changes of contact details with us.

If your child becomes unwell while at the club, we will call you and it may be necessary for you to collect your child. If a child is sent home during school hours, Robin Club will be informed.

Medication can only be given in line with the school policy. We are legally required to have written permission before medication can be given. This must be prescribed and required to be administered four times a day and be in date. Any pre-existing medical conditions will be dealt with in line with school policy.

Please ensure you child does not attend if he/she is unwell, in line with the school’s sickness / illness policy.  Please adhere to the school’s 48 hour rule for vomiting and diarrhoea; children cannot return to school until 48 hours after the last bout of illness.

Management reserve the right to refuse a child into the Out of School Clubs if they feel the child is not well enough to attend.

Robin club follows the school’s First Aid Policy and Administration of Medications Policy.

Missing or Uncollected Children

In the event that a child goes missing, the following procedure will be undertaken:

Senior school staff will be informed of the missing child

The Robin Club Manager will search the inside of the building and delegate an outside search of the building to another member of staff. If the child remains missing, the emergency services will be contacted.

Uncollected Children

If a child has not been collected by 6.00pm parents will be contacted in the first instance by telephone. Additional contacts parent have provided will be telephoned in the second instance. If these contacts are unavailable after approximately one hour, the police and social services will be informed.

Personal Property

  • We cannot accept responsibility for lost or broken items and staff may not always have time to look for these items.
  • No toys should be brought into Robin Club.
  • Everything you bring into clubs must be clearly labelled with your child's full name.
  • When weather permits, children will be taken outside and therefore you should supply suitable clothing i.e. coat and sunhat.

Safeguarding

Robin Club follows the Forestdale Primary School’s Safeguarding and Safer Recruitment    guidelines. All our staff are subject to an enhanced Disclosure and Barring Service check (DBS).

We have a duty to monitor, record and refer any concerns we have regarding the children in our care and these will be passed to the Designated Safeguarding Lead.

School Closure

If for any reason there is a school closure, we will endeavour to contact your as soon as possible via text message. Please also refer to the school website for information.
